1. Acceptance of these terms
These Terms & Conditions (“Terms”) are an agreement between you and Room & Road Moving Company, LLC (“Room & Road,” “we,” “us,” or “our”). By using this website, submitting a form, or accessing an authorized portal account, you agree to these Terms and acknowledge our Privacy Policy. If you do not agree, do not use the applicable website feature.
If you use the website for another person, property owner, business, or organization, you represent that you are authorized to provide the information and act for that party.
2. Website information is not a moving contract
Website descriptions, illustrations, service information, availability statements, and preliminary discussions are general information. They are not an offer, guaranteed price, reservation, binding estimate, insurance policy, valuation election, or moving-services contract.
A move is accepted only when Room & Road confirms availability and the parties complete the required estimate, moving agreement, valuation selection, bill of lading, payment, and any other applicable documents. Those signed documents govern the move and control over these website Terms if there is a conflict involving that service.
3. Quotes, estimates, and bookings
Information submitted through the website is used to evaluate a requested move and prepare or discuss a non-binding estimate. Pricing and availability may depend on addresses, distance, move size, inventory, access, parking, stairs, elevators, crew size, equipment, materials, requested services, timing, and other conditions.
You agree to provide accurate, complete, and current information and to notify us promptly if move details change. Undisclosed or changed conditions may affect availability, scheduling, equipment, crew size, scope, or price as permitted by the signed moving documents and applicable law. A website submission does not hold a date or time unless Room & Road confirms the booking in writing.
4. Services and service area
Room & Road provides residential moving and related services described in the applicable written estimate or agreement. Services may include moving labor, packing, wrapping, loading, transportation, unloading, or other agreed work. We may decline work that is unsafe, unlawful, outside our authority or service area, beyond available equipment or personnel, or materially different from the information provided.
Unless expressly confirmed through appropriate written documents and operating authority, the website is directed to Georgia intrastate services and does not independently offer interstate household-goods transportation.
5. Georgia moving documents and tariffs
Transportation charges, valuation options, claims procedures, and other move-specific rights and responsibilities are governed by the signed moving documents, applicable Georgia Department of Public Safety rules, and the tariff in effect for the service. Nothing on this website changes a required tariff, valuation election, bill of lading, moving guide, or right that cannot lawfully be waived.
6. Customer and authorized-representative responsibilities
Customers and their authorized representatives are responsible for:
- providing accurate addresses, unit numbers, access conditions, inventory, property type, service needs, and contact information;
- identifying stairs, elevators, long carries, parking restrictions, gate codes, building rules, fragile or high-value items, and other material conditions;
- obtaining building, parking, elevator, property-owner, association, or other required permissions;
- maintaining safe and lawful access and removing hazards;
- being present or designating an authorized adult who may provide directions, approve changes, and acknowledge pickup or delivery;
- protecting money, jewelry, documents, medications, keys, credentials, irreplaceable items, and property we are not permitted to transport; and
- following preparation, packing, prohibited-item, payment, and claims instructions in the signed moving documents.
A person signing or approving service represents that the person is the homeowner, property owner, customer, or an authorized representative with authority to permit access, direct the work, and bind the applicable customer to the service documents.
7. Packing, wrapping, and condition documentation
Responsibilities for customer-packed items, declined packing or wrapping, fragile items, preexisting damage, valuation, and claims are stated in the signed moving documents. Room & Road may photograph or record belongings, vehicles, equipment, or property conditions when reasonably necessary to document pickup condition, protective measures, delivery condition, an incident, a claim, safety, or service performance. Optional public marketing use requires permission or another lawful basis as described in the Privacy Policy.
8. Timing, delays, and events outside reasonable control
Scheduled times and completion estimates are based on information then available and are not guarantees unless a signed document expressly states otherwise. Traffic, weather, road conditions, prior-job delays, mechanical problems, building restrictions, customer readiness, unsafe conditions, emergencies, government action, and other events outside reasonable control may affect arrival or completion. We will use reasonable efforts to communicate material changes.
9. Payments and third-party payment services
Deposits, accepted payment methods, payment timing, minimums, travel charges, materials, additional services, refunds, cancellations, and rescheduling are governed by the applicable estimate or signed agreement. Contractor payments may be processed by Bill.com through direct deposit or check. Payment providers operate under their own terms and privacy policies. Room & Road does not promise that a third-party payment service will always be available or error-free.
10. Communications consent
When you request a quote, submit a form, book a move, or provide contact information, you authorize Room & Road to contact you about that request or service by phone, text, or email using the information you provide. Message and data rates may apply. Consent to promotional communications is not a condition of purchase. Marketing messages, if any, will include legally required opt-out methods. Service, safety, account, claim, and payment communications may continue as permitted by law.
11. Private portals and member codes
Crew and lead portals are private systems for individuals authorized by Room & Road. Portal access is personal, limited, revocable, and does not create ownership rights. Users must protect login credentials and member codes, use only their own account, provide accurate information, and promptly report suspected unauthorized access.
A member code is an internal identifier used for assignments, activity, communication, time, and payment records. It does not replace any legal identity, tax, contractor, employment, or payment document. Portal displays and automated records do not alter the terms of a signed contractor, compensation, confidentiality, or other agreement.
12. Job activity, location verification, and automated records
Authorized team leads may use the portal to record job activity, including Start Job, Arrived, breaks, incidents, delays, and End Job. The system may automatically add the date, Eastern Time, Job ID, and member code; send specified notices; update connected spreadsheets; calculate time; or generate payment records.
For an arrival event, the portal may request device-location permission to verify proximity to the assigned pickup address. The system is designed to store an arrival verification result rather than raw latitude or longitude and is not intended for continuous tracking. Users may not falsify, manipulate, bypass, spoof, or interfere with activity, time, location, incident, or payment records. Automated calculations remain subject to review and correction of verified errors.
13. Incident reports and uploaded content
Users submitting notes, photographs, or other content represent that the submission is accurate, relevant, and authorized. Do not upload unlawful material, unrelated personal information, passwords, financial credentials, or private content unnecessary for the job. Incident submissions may be stored with the job record and emailed to authorized Room & Road personnel for investigation, safety, insurance, claims, or operational purposes.
You grant Room & Road a limited license to host, copy, transmit, and use submitted content as reasonably necessary to operate the service, maintain records, investigate incidents, enforce agreements, and comply with law. You retain any rights you otherwise hold in your content.
14. Electronic communications and records
You consent to receive website notices, confirmations, disclosures, and records electronically when permitted by law. Electronic timestamps, submissions, consent records, portal activity, and system-generated records may be used as business records, subject to correction of demonstrated errors. You are responsible for maintaining a current email address and access to a device capable of viewing electronic records.
15. Acceptable use
You may not:
- attempt unauthorized access to accounts, portals, data, code, servers, or connected systems;
- share credentials or use another person’s account or member code;
- submit false, misleading, fraudulent, malicious, or unlawful information;
- interfere with forms, security controls, location verification, calculations, communications, or system availability;
- introduce malware, scrape protected information, probe vulnerabilities, or reverse engineer restricted systems;
- use customer, contractor, assignment, payment, or incident information for an unauthorized purpose; or
- copy, publish, sell, or exploit website content except as expressly permitted in writing or by law.
We may restrict or terminate access, preserve relevant records, and take appropriate action when misuse is suspected.
16. Intellectual property
The Room & Road name, logos, trademarks, site design, original text, illustrations, photographs, forms, portal presentation, and other content are owned by or licensed to Room & Road Moving Company, LLC and are protected by applicable law. These Terms grant only a limited, revocable right to use the website for its intended purpose. No other license or ownership interest is transferred.
17. Third-party services and links
The website may use or link to third-party services, including mapping, hosting, form, spreadsheet, automation, membership, email, accessibility, security, and payment providers. We do not control third-party services and are not responsible for their independent terms, privacy practices, availability, security, or content. Your use of those services may be subject to additional agreements.
18. Website availability and disclaimer
The website and portals are provided on an “as available” basis. We work to keep them useful, secure, and accurate, but do not warrant uninterrupted access, perfect accuracy, compatibility with every device, or freedom from every error or harmful component. We may correct, suspend, modify, or discontinue website features. Do not rely on the website as the sole method for emergency, safety-critical, or time-sensitive communication.
To the fullest extent permitted by law, we disclaim implied warranties relating solely to use of the website. This paragraph does not disclaim obligations or warranties that cannot lawfully be excluded or the obligations expressly accepted in a signed moving agreement.
19. Limitation of website liability
To the fullest extent permitted by law, Room & Road and its owners, officers, contractors, and service providers will not be liable for indirect, incidental, special, exemplary, punitive, or consequential loss arising solely from use of or inability to use the website, a portal, or a third-party integration. Liability relating to an actual move, property loss, personal injury, payment, or contractor relationship is governed by the applicable signed documents and law.
Nothing in these Terms limits liability, rights, or remedies that cannot lawfully be limited.
20. Indemnification for website misuse
To the extent permitted by law, you agree to defend, indemnify, and hold harmless Room & Road and its owners, officers, contractors, and service providers from third-party claims, losses, and reasonable costs arising from your unlawful website use, material violation of these Terms, infringement of another person’s rights, or submission of content you were not authorized to provide. This provision does not apply to the extent a claim results from Room & Road’s own unlawful conduct.
21. Governing law and disputes
These website Terms are governed by Georgia law, without regard to conflict-of-law principles. Before filing a dispute concerning the website, the parties agree to make a good-faith effort to resolve it through written notice and informal discussion for at least 30 days, unless immediate relief is reasonably necessary. Subject to any controlling signed agreement or law, legal proceedings concerning only these website Terms must be brought in a court of competent jurisdiction in DeKalb County, Georgia.
A signed moving or contractor agreement may contain mediation, arbitration, venue, or other dispute provisions that control disputes within its scope.
22. Suspension and termination
We may suspend or terminate portal or website access when authorization ends, security is threatened, misuse is suspected, or continued access could harm a person, property, our systems, or legal rights. Provisions that by their nature should survive termination—including intellectual property, records, disclaimers, limitations, indemnification, and dispute terms—will survive.
23. Changes, severability, and no waiver
We may update these Terms as our website, systems, or practices change. The effective date above identifies the current version. Continued use after an updated version becomes effective constitutes acceptance to the extent permitted by law. If a provision is found unenforceable, it will be enforced to the maximum lawful extent and the remaining provisions will continue. Failure to enforce a provision is not a waiver.
