1. Scope
This policy covers information collected through roomandroadmoving.com (including our online estimate and partner forms); phone calls, texts and email; our ads, social media accounts and messages; moving-service records; and the Room & Road app at app.roomandroadmoving.com, used by customers, partners, crew members, team leads and our office. A signed moving, partner or contractor agreement may include more specific terms; for that transaction, the more specific document controls to the extent the law allows.
2. Information we collect
When you start an estimate or contact us: your name, phone number and email; pickup, drop-off and any extra-stop addresses; home type, size, floors, elevators, parking and how full the home is; the help you want (moving, labor only or packing); specialty items; your move date; your contact consent and cookie choice; and the time you spent on the estimate.
Inspections: the inspection type and time you choose, the calendar invitation we send, and the photos and video you send or show us (including photos you text us).
Booking, agreements and your move: estimates, KeyRate offers, agreements, valuation choices, bills of lading, signatures (with the time, IP address and device used to sign), inspection notes, change approvals, job times, crew notes, condition photos, incident reports and related messages.
Payments: deposits, card holds and payments are handled by Stripe, which keeps your card on file for your move’s balance and approved changes. We see the payment status, amount and the card’s brand and last four digits; we do not store full card numbers.
Claims: what happened, what you’re asking for, photos, receipts and other records you send.
Accounts and move links: for customers, the private link to their move page and its use; for partners and team members, sign-in details (including passkeys, which stay on your device), role, activity, notification settings and security events in the Room & Road app.
Partners: name, email, phone, mailing address, brokerage or business details, MLS ID, signed partner agreement, payout method and tax form status, referral codes, referrals made, levels and payout records (see Partners and referrals).
Team members (crew, team leads and office): name, legal name, contact details, home address, emergency contact, member code, role, assignments, job activity and times, breaks, incident reports, uploaded photos, pay records, tax forms, training acknowledgments, equipment records and, for team leads, arrival location (see Team arrival location).
How you found us: if you arrive from an ad, a link or a QR code (such as on a door hanger), the source, campaign, keyword and content tags, ad click IDs (such as Google’s gclid, gbraid and wbraid), any referral code, the city page you landed on and, for Google Ads clicks, the general area of the search. We keep these with your request for up to 30 days after your visit so we know which ads and pages work.
Ads, social media and messages: information you send us through a platform’s lead form, comment or direct message, and your public profile name or handle on that platform.
Website and device information: IP address, browser and device type, approximate location from IP, pages visited, referring page, the estimate steps you reach, cookie choices, and performance, error and security data.
Please don’t put Social Security numbers, bank logins, card numbers, medical details or passwords in website forms, messages or notes.
3. Where information comes from
From you; from people acting for you; from our crew, team leads and office; from the website and the Room & Road app; from advertising and social platforms when you click our ads, use their lead forms or message us; from referral partners; from our team when you talk with us at an event or your door and agree to be contacted; from building or property contacts; from payment providers, insurers and advisers; and from public records.
4. How we use information
- prepare your estimate and KeyRate offer, and follow up on it;
- check that addresses are in our Georgia service area, map routes and plan crews;
- schedule and hold inspections, and prepare, sign and keep agreements, bills of lading and inspection records;
- take deposits, place card holds and collect payments as your agreement describes;
- communicate about quotes, inspections, bookings, delays, changes, claims, safety and payments;
- send offers and promotions where you have agreed or the law allows;
- document belongings and property, and investigate incidents and claims;
- run partner and referral programs and pay rewards;
- confirm team arrival, record job time, and calculate and pay our team;
- measure which ads, platforms and pages bring in requests, and show our ads to people likely to need a mover;
- improve the website, the estimate and our service;
- prevent spam, fraud, misuse and unauthorized access, and keep our systems working and secure;
- keep tax, insurance, accounting, regulatory and legal records; and
- enforce our agreements and protect people, property and legal rights.
5. Service providers we use
- Cloudflare: website hosting, the Room & Road app’s servers, security and rate limiting.
- Supabase: the Room & Road app’s database and sign-ins.
- Google Workspace: Gmail for email, Google Drive for job photos and documents, Google Calendar and Google Meet for inspections, and Google Voice for calls and texts.
- Google Maps Platform: address suggestions in our estimate and forms, and route and distance calculations.
- Google Analytics and Google Ads (the Google tag): measuring site use and which ads lead to estimates, based on your cookie choices.
- Stripe: deposits, card holds and payments.
- BILL.com: paying our team and vendors.
- Apple FaceTime: FaceTime inspections, if you choose one.
- The 196 Global Kit form service: receiving partner and contact forms from the website and passing them to us.
- Other providers: email delivery, browser notification services for the app, advertising and social platforms (Section 8), and insurance, claims, legal, accounting and technology advisers.
These providers process information to provide their services to us, under their own terms and the law. As our tools change, this list may change too.
6. When we share information
- with the service providers and advisers in Section 5, to provide their services to us;
- with people involved in your move when reasonably necessary (for example your representative, a building manager, an insurer or a claims adjuster);
- with the referral partner who sent you, limited to whether you booked and what is needed to pay their reward;
- with advertising and social platforms as described in Section 8, based on your cookie choices;
- to comply with law, legal process, insurance requirements or a lawful government request;
- to investigate fraud, safety events, claims or violations of our agreements;
- to protect people, belongings, property, systems or legal rights; or
- as part of a financing, merger, sale or transfer of our business, with appropriate protections.
We do not sell personal information for money. We never sell or share your mobile number or text opt-in with third parties for their own marketing. Some advertising cookies described in Section 8 may count as a “sale” or “sharing” for targeted advertising under some state laws; you can opt out of those at any time (see Section 19).
7. Cookies and tracking
Our website uses cookies, local and session storage, tags and similar technologies (together, “cookies”) in these groups:
- Necessary (always on): deliver and secure the site; run the online estimate and forms, including keeping your answers in your browser tab so a refresh doesn’t lose them; connect your request to our systems so we can see your estimate and reply; remember your cookie choice (kept for 180 days); and keep the ad or link that brought you, for up to 30 days, with your request.
- Analytics (optional): Google Analytics, through the Google tag, to understand how the site and the estimate are used and where visitors drop off.
- Advertising (optional): tags from advertising platforms (today Google Ads; in the future possibly others listed in Section 8) that measure which ad clicks lead to estimates and may be used to show our ads to past visitors or similar people.
Cookies needed to submit an estimate. The online estimate can’t work, and we can’t receive or answer your request, without the necessary cookies above. So when you submit an estimate request, we ask you to agree to them along with being contacted. Analytics and advertising cookies stay your choice and are never required.
Your choices. Optional cookies stay off until you choose. You can accept, reject or customize them in the cookie banner, and change your choice any time with the “Cookie preferences” link or by clearing this site’s data in your browser. Most browsers also let you block or delete cookies; blocking necessary cookies will stop the estimate from working.
8. Advertising, analytics and social platforms
We advertise and keep accounts on platforms we use now or may use in the future, including:
- Google: Search and Google Ads, Google Analytics, Google Maps and Business Profile, and YouTube;
- Microsoft: Microsoft Advertising (Bing);
- Meta: Facebook, Instagram, Messenger and WhatsApp;
- TikTok; and
- other ad networks and social or review platforms, such as Nextdoor, Yelp, Pinterest, X, LinkedIn and Snapchat.
Depending on your cookie choices and the platform, we and these platforms may use:
- Pixels and tags on our website that tell the platform when someone who clicked an ad visits a page or submits an estimate;
- Conversion tools (such as Google’s enhanced or offline conversions, or Meta’s or TikTok’s conversions APIs), where we send the platform a scrambled (hashed) email or phone number, or the ad click ID, so it can match a booked move to the ad that led to it;
- Custom and lookalike audiences, where a platform matches hashed customer contact details or site visits to its users so we can show ads to past visitors or customers, leave them out, or reach people with similar interests; and
- Lead forms, comments and messages on the platform. When you use a platform’s lead form or message us there, the platform shares what you send with us, and we handle it like any other request.
Each platform also uses information under its own privacy policy. You can manage ad settings in your account on each platform. We don’t use advertising tools to target people based on sensitive information such as health, religion or financial status.
9. Browser privacy signals
Some browsers send a “Do Not Track” or Global Privacy Control (GPC) signal. Our site doesn’t currently respond to these signals automatically. To turn off advertising cookies, choose “Reject all” or turn off Advertising in Cookie preferences (linked in our site footer), or email us and we’ll honor your request.
10. Calls and text messages
When you give us your phone number and agree to be contacted, we may call or text you about your estimate, inspection, booking, move, payment, claim or account, and, only if you agree, with occasional offers. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out and HELP for help. Consent to marketing texts is not a condition of purchase. Full text program terms are in our Terms & Conditions.
Mobile information will not be sold or shared with third parties or affiliates for their marketing or promotional purposes. Text opt-in data and consent are not shared with anyone except the service providers that help us send the messages. We keep a record of your consent and of opt-outs. Photos you text us are saved to your move record.
11. Email
We email estimates, KeyRate offers, inspection invitations, agreements and signing codes, receipts, move updates and claim and account notices, from hello@roomandroadmoving.com. Promotional emails include an unsubscribe link; once you unsubscribe, we’ll stop promotional email within the time the law requires, but may still send service emails about your move or account.
12. Photos, video, reviews and testimonials
We take or receive photos and video when reasonably needed to document condition before, during and after a move, incidents, claims, safety, training or service quality. These are kept with the job or incident record.
We won’t use identifiable customers, the inside of private homes, addresses, personal documents or identifiable belongings in public marketing without your permission. If you agree to move-day photos or video, or send us a review or testimonial, we may show it on our website, ads and social media with your first name or handle. Saying no never affects your service. You can withdraw permission any time by emailing hello@roomandroadmoving.com; we’ll stop new uses and remove it from our own pages and accounts where we reasonably can. Withdrawing doesn’t require us to delete operational, legal, insurance or claim records.
13. Partners and referrals
When an agent or trade partner signs up, we use their details to set up their account, track referrals and pay rewards, and keep payout and tax records. When a partner refers you, we receive the contact details they give us and we tell the partner whether you booked and what’s needed to pay their reward. We don’t share your estimate, inventory or payment details with them. Partners should only refer people who have agreed to be contacted.
14. Team arrival location
Only team leads use this. When a team lead taps “Arrived” in the Room & Road app, the app asks the phone for its location once and checks that it is near the pickup address. The location at that moment (latitude, longitude and accuracy) is saved with the arrival record so the arrival can be confirmed later. If location permission is declined, arrival can’t be marked until it’s allowed. The app does not track anyone continuously, and location is not used for other job steps.
15. How long we keep information
As long as reasonably needed for the purposes above, including completing services, keeping customer and team records, paying people, handling claims and disputes, and meeting legal, tax, insurance, regulatory and safety requirements. Retention depends on the type of record: for example, estimate answers in your browser tab are cleared when you close the tab, ad and referral tags are kept in your browser for 30 days, and your cookie choice for 180 days. When information is no longer needed, we delete or de-identify it.
16. Security
We use reasonable safeguards for the kind of information we hold, including individual sign-ins, role-based access, encrypted connections, sign-in rate limits, activity records, backups and provider security controls. No system is completely secure. Tell us right away if you suspect someone has used your Room & Road app account.
17. Where information is processed
We are based in Georgia and our services are for people in the United States. Our service providers may process information in other states or countries, under their own security commitments and the law. If you contact us from outside the United States, your information will be processed in the United States.
18. Your privacy choices and requests
Subject to the law and verification, you may ask to see, correct or delete personal information; ask how we use or disclose it; get a copy; change how we contact you; or change your cookie choices. We may keep some information when required or allowed for contracts, payments, taxes, insurance, claims, safety, security, fraud prevention or legal rights.
Send privacy requests to hello@roomandroadmoving.com or call or text us. We may ask for information to confirm your identity and find your records. Someone acting for you may need to show authority. We won’t treat you differently for making a request.
19. State privacy rights (California and other states)
Residents of California and other states with consumer privacy laws (such as Colorado, Connecticut, Virginia, Texas, Oregon and others) may have these rights, where those laws apply to us:
- Know and access the categories and specific pieces of personal information we collect, use and disclose;
- Correct inaccurate information;
- Delete information, with legal exceptions;
- Get a copy in a portable format;
- Opt out of “sale” or “sharing” of personal information for targeted (cross-context behavioral) advertising, and of profiling with legal or similarly significant effects;
- Limit use of sensitive personal information (we only use it as needed to provide our services, such as arrival location for team leads and tax records for our team); and
- Not be discriminated against for using these rights, and to appeal a decision on your request by replying to our response.
How to opt out of sale or sharing: choose “Reject all” or turn off Advertising in Cookie preferences, or email us. We don’t knowingly sell or share information of anyone under 16.
Categories (last 12 months). We collect identifiers and contact details; customer records; commercial information (estimates, bookings and payments); internet and device activity; approximate geolocation (and precise arrival location for team leads); photos and audio-visual records; professional information about partners and team members; and inferences about which ads and pages work. We collect them from the sources in Section 3, use them for the purposes in Section 4, and disclose them to the recipients in Sections 5, 6 and 8. Advertising platforms may receive identifiers and internet activity through advertising cookies, which may be a “sale” or “sharing” under some state laws. We keep each category as described in Section 15.
20. Children’s privacy
Our website and services are for adults. They are not directed to children under 13, and we do not knowingly collect information from them. Contact us if you think a child has sent us information, and we’ll delete it.
21. Other websites and services
Our website links to or uses services we don’t control, such as social platforms, maps and video calls. Their own privacy policies apply when you use them directly.
22. Changes to this policy
We may update this policy as our services, systems, platforms or legal obligations change. The “Last updated” date above shows the current version. If we make a material change, such as using your information in a new way, we’ll tell you on the website, in the app or in another reasonable way, and ask for consent where the law requires.
